Booklet printing reorders pages automatically in most PDF readers, giving you a compact pocket or desk calendar. You need to arrange the pages so they read correctly after folding and stapling. Get the page count, printer settings, folding, and saddle stitching right, and the finished booklet looks clean.

Understand the Page Count

One folded sheet gives 4 booklet pages. Your total page count must be a multiple of 4. A calendar with 12 months plus a front and back cover has 14 pages. Round up to 16 pages, which equals 4 sheets. Leave the extra pages blank at the end.

Drop the cover or use fewer months and you can shrink the booklet, but the page count must still hit a multiple of 4. A 12-month calendar with no separate cover is 12 pages, already a clean multiple. Add blank pages only if you want 16.

Prepare Your Calendar PDF

Order The Pages

Before printing, make sure your calendar file has all pages in the correct reading order: front cover, January, February, through December, then back cover. If your PDF has extra blank pages, leave them in place to reach a multiple of 4.

Use The Booklet Print Option

Most PDF viewers have a print dialog with a 'Booklet' option. It reorders pages automatically so that after folding and stapling, the pages are in the right sequence. If your software lacks this, reorder pages manually with a PDF editor.

Set Up Printer for Double Sided Booklet Printing

Booklet printing needs double-sided printing. For landscape sheets, set your printer to flip on the short edge. That keeps the back side of each sheet from being upside down when you fold.

  • Open the PDF and go to File > Print.
  • Look for a 'Booklet' or 'Booklet printing' option and select it.
  • Choose 'Double sided' or 'Duplex' and select 'Flip on short edge' (also called 'Short edge binding').
  • Set the paper size to Letter (to get a 5.5 x 8.5 inch booklet) or A4 (to get an A5 booklet, 148 x 210 mm).
  • Print. The printer produces each sheet with two pages on each side, in the correct order for folding.

No automatic duplex? Print odd pages first, reload the paper, and print even pages. Still flip on the short edge.

Fold the Sheets

After printing, you have a stack of sheets. Each sheet carries four booklet pages: two on the front, two on the back. Fold each sheet in half widthwise, bringing the right edge to meet the left edge. Crease firmly with a bone folder or the edge of a ruler.

A Letter sheet folds to a 5.5 x 8.5 inch booklet. An A4 sheet folds to A5 (148 x 210 mm). Check alignment after folding. The front cover sits on the top right of the first sheet. The back cover sits on the bottom left of the last sheet.

Assemble and Staple the Booklet

Nest all folded sheets inside each other. The first folded sheet, with the front cover on its front side, goes on top. The second sheet goes inside it. Continue until all sheets are stacked. Align the folds neatly.

Bind the booklet with two staples on the fold. This is saddle stitching. Place the booklet fold-up. Open a long-reach stapler and staple twice along the fold: one staple about 1 inch from the top, one about 1 inch from the bottom. No long-reach stapler? Staple by hand, but drive the staples through all sheets at the center fold.

Trim the Edges (Optional)

After stapling, the page edges may not align perfectly. Trim the top, bottom, and right edges with a paper cutter or a sharp knife and a straightedge. Take off about 1/8 inch. That cleans up any unevenness and gives the booklet a crisp look.

Skip trimming if you prefer a rustic look. The booklet still works as a pocket or desk calendar.

Troubleshooting Common Issues

Pages in the wrong order? Check that you selected the 'Booklet' print option and that the PDF has the correct page sequence. Back side upside down? Your printer flipped on the long edge instead of the short edge. Reprint that sheet with the correct setting.

Booklet too thick to staple? You may have too many sheets. Four sheets is standard for a 16-page booklet. For larger booklets, use a stronger stapler. Pages not folding evenly? Re-crease each fold with a ruler.
